Legal Assistant

Cohen, Weiss and Simon LLP, is a mid-size boutique labor, employment and employee benefits law firm in midtown NYC. 

The Legal Assistant is responsible for supporting all aspects of the attorney’s legal practice.  To do so, the Legal Assistant must be generally knowledgeable about the attorney’s work, clients, and professional activities.  The Legal Assistant must be highly self-motivated, professional, capable of managing their workload and prioritizing tasks, without significant supervision, in a fast-paced environment.

Representative responsibilities include:

  • Coordinating attorney communications, including taking calls, drafting, and responding to emails and letters, and interfacing with attorneys, staff, court personnel, vendors, clients and the like
  • Managing attorney calendar including maintaining awareness of upcoming deadlines
    • ensure knowledge of attorney location
  • Scheduling, preparing for and supervising all tasks related to filings, meetings, events and appointments (including, location, food, beverage, audio/visual, greeting guests, etc.) and coordinating changing schedules
    • reconfirm attendance and location
    • send meeting/event/appointment reminders
    • ensure that attorney has materials needed for meeting/event/appointment
  • Ensuring confidentiality of sensitive information
  • Maintaining an organized filing system of paper/electronic documents and other organizational tasks
    • create systems for tracking routine tasks
    • create and update list of current client contact information for attorney
    • create and update list of current client and matter numbers for attorney
  • Preparing internal and external firm documents
    • transcribe and proofread
  • Filing and retrieving documents, records, and reports
  • Remaining proficient in word processing, spreadsheets, databases, and presentation software
  • Reviewing incoming mail and distributing as needed
  • Scheduling and tracking attorney Continual Legal Education (“CLE”) credits
    • determine which state license(s) attorney holds, types of credits needed and license renewal dates
    • facilitate conference registration
  • Reconciling attorney credit card statements and supervising expense reimbursements
  • Preparing and distributing client bills
    • proofread attorney time entries weekly
    • prepare retainer agreements
    • obtain new client and/or matter numbers
    • prepare monthly invoices
    • determine when invoices are paid
  • Making attorney travel arrangements
    • reconfirm travel arrangements
    • add necessary information to attorney calendar
  • Maintaining individual calendar with important deadlines/reminders related to the above tasks
    • maintain list of current projects
  • Assisting with firm marketing efforts
    • provide information for creating and updating website and social media posts
    • maintain and update e-mail lists
  • Supporting other Legal Assistants and Staff throughout firm
    • maintain a proactive and collegial approach to problem-solving
    • demonstrate strong decision-making skills
